treatments
All treatments and workshops provided by School of Light will last for the specified duration purchased. i.e. a 60 minute treatment will last 60 minutes.
All clients must complete a consultation form prior to treatment and will receive up to 15 minutes consultation within their session time.
Treatments will only be conducted if SoL deems the treatment safe for the client to receive
GP/Consultant permission may be required before treatments can be provided
Inappropriate Behavior
SoL has the right to terminate a treatment immediately if the client demonstrates inappropriate or sexual behavior
Payment will be collected for the full treatment price
If the therapist is unable to collect money before leaving, an invoice will be sent to the client’s address
All invoices must be paid within 7 days of issue date
Cancellation Policy
A booking is confirmed once SoL and the client have both agreed a date, time, duration and location for a treatment
If a cancellation is made more than 24 hours before a treatment, the client will not be charged
If a cancellation is made within 24 hours of the treatment, they will be expected to pay a cancellation fee of £40 for each hour cancelled
This cancellation fee may be waived at SoL’s discretion.
The cancellation fee must be paid within 7 days of the cancellation
If a client is experiencing symptoms of Covid-19 or has knowingly come into contact with someone with Covid-19 symptoms within two weeks prior to the treatment, the client must cancel their session with immediate effect and the cancellation fee will be waived
SoL has the right to cancel a treatment by giving 24 hours notice
SoL has the right to cancel a treatment without notice if the room or environment is unsuitable for the treatment to be provided, or if the therapist is taken ill
SoL has the right to cancel a treatment without notice if the client is intoxicated or inebriated
SoL commits to rearranging treatments to a new time and date within two weeks of the cancelled treatment where possible
Vouchers
Vouchers can be used as payment towards any available, advertised treatments
Vouchers are only valid for one use
If the whole amount of the voucher is not used, another voucher for the remaining voucher sum will be issued
Vouchers are only valid up to and including the expiry date
Postage will only be charged for vouchers that are paid for online and then posted
If postage is paid, but vouchers are delivered during a treatment, the postage fee charged will be returned to the customer in cash
Refunds are not available for vouchers already paid for and provided
Feedback Forms
Feedback forms will be sent to clients at SoL’s discretion
Content may be used in publicity material and on the website, with the permission of the author
Website Content
Website content will be authorised and managed at SoL’s discretion, including testimonials
Photographs will only be displayed with the consent of the people in the photograph
Photograph consent may be obtained by SoL verbally, or in writing if the client completes a photo release form
Photo release forms can be requested by phone or email
Payment
SoL accepts payment in cash, bank transfer or through paypal
Invoices will be sent to clients who do not pay for, or who cancel, treatments
Invoices must be paid within 7 days of the issue date
Privacy
Client treatment details will not be discussed with anyone other than the client unless the client is under the age of 18 or has a care worker or guardian
Consultations will only be discussed with the client unless the client is under the age of 18 or has a care worker or guardian
Consultation Forms and treatment notes will be kept on file, securely by SoL
All clients must complete a consultation form prior to receiving SoL treatments, either online or in-person
By signing the consultation form, clients are giving SoL permission to hold records and data about them in accordance with our Privacy Policy
Personal information will not be shared with any third parties
Young Clients
Clients under the age of 18 must be accompanied by an adult
The adult must give permission for the treatment to be performed
The adult must co-sign the client’s consultation form
The adult must be present in the room throughout the treatment
RETREATS
Booking
(a) Your booking is not considered definite and no contract will exist until we receive the agreed deposit from you and you agree to these terms and conditions. (b) We do not share customer details with any 3rd parties.Payment
(a) The price is the exact amount to be received by us in the currency on the website.(b) The full payment amount is due at the time of purchase or if there is a payment plan on the set dates.
(c) If you do not keep up with your payment plan, you will have 2 days to pay, otherwise your booking will be cancelled and you will not get a refund for any payments you have already made and you will not be able to transfer your place.
Your Travel Arrangements
All travel arrangements are your responsibility and at your own cost. We shall not be held liable for any consequences arising from delays or cancellations in any of the companies you may have made arrangements with, or for any irregularities in your documentation required for travel. Transfers to/from the retreat are at your own cost, unless otherwise specified on the retreat/event page.Your Health
(a) It is your responsibility to let the retreat organiser know if you have any injuries and to be mindful always of your own body’s capability during the retreat. If you experience any injury or discomfort during any activity during the retreat, then you must desist immediately.
(b) It is also your responsibility to consult a doctor with an understanding of (any of the physical activities listed) to check that you are sufficiently fit and healthy to undertake the classes and other physical activities that you may choose to do whilst on the retreat.
(c) Please advise us of any mental or physical health conditions and dietary requirements before you book. If you have health conditions and dietary requirements that may be affected by the activities offered on our retreats we reserve the right to advise you to desist and in the interests of your wellbeing, or others, we may decline your stay at our retreats.
(d) Whilst all measures are taken to ensure a high standard of health and safety, sometimes we may be situated in the countryside and other places where the land is uneven and we shall not be responsible for any injuries caused by uneven terrain.
(e) Women who are 12 to 28 weeks pregnant should provide a letter from their health practitioner specifying that they are fit to travel and able to engage in the activities that we provide.Cancellation by you
(a) You (or any member of your party) may cancel your booking at any time, however no refunds are provided. If you are on a payment plan you must legally continue all the payments as agreed. However, if you find another person to take your place (under your own advertising on your own platforms), then you may offer your place to her, this is at our own discretion and you must consult with us first. (b) Bookings are for the stated period of the retreat. There are no refunds for an unused portion of the retreat. If the reason for cancellation is covered under the terms of your Insurance Policy, you may be able to make a claim on your insurance.Amendments by us
Occasionally, changes may have to be made (e.g.,exercise teacher, workshop agenda, any other teachers, class times or any other arrangements), which we reserve the right to do at any time, however we will aim to amend it to something of a similar or better rating. If your accommodation has to be changed, we will do our utmost to provide accommodation of a similar rating. If a significant change becomes necessary, we will inform you as soon as reasonably possible if there is time before your departure.Cancellation by us
We reserve the right in any circumstances to cancel a retreat. In particular, our retreats require a minimum number of at least 75% of the participants to have booked by 30 days before the start date. If this minimum number is not reached by that date we may cancel and refund the money to you.Our liability to you
(a) We accept responsibility for ensuring that the retreats are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard.(b) We do not accept any liability for cancellations, delays or changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil strife, industrial action, natural disaster, technical problems to transport, staff cancellations, unforeseen changes in your personal circumstances or other events beyond our control.
(c) We are not liable for any injuries you may incur. All the exercise classes and all activities, workshops, spa treatments, and anything else is undertaken at your own risk. We are not liable for any medical or psychiatric conditions, which may develop during or after the retreat. We are not liable for loss of, or damage to, your personal property.Group Bookings
Where a booking is made on behalf of several individuals the booking is conditional on the person(s) paying having authorization from all the individuals named on the booking form to enter this contract. The terms of this contract will apply to each member of the group as though they had paid for their own retreat individually and directly to us.No Liability for possessions
It is your responsibility to ensure that your possessions are kept safe always. We are not liable for loss of, damage to, or theft of any of your personal property.Complaints
If you have a problem during your retreat, please inform the organiser immediately in private and they will endeavor to put things right. Please note that we cannot be responsible for the individual behavior of any group member or other guest sharing your accommodation.Privacy Policy
We do not share customer details with any 3rd parties. Any personal information that you provide to us will be used only for the service you requested.Photography & VideographyI, for good and valuable consideration, the receipt of which is hereby acknowledged, hereby irrevocably authorise SCHOOL OF LIGHT (the company) to use photographs and videos of me and or my property and authorize her and her assignees, licensees, legal representatives and transferees to use and publish (with or without my name) photographs, pictures, portraits or images in any and all forms and media, and the purposes of publicity, illustration, commercial art, advertising, publishing (including publishing in electronic form on CDs or internet websites), for any product or services, or other lawful uses as may be determined by SCHOOL OF LIGHT. I further waive all rights to review or approve any uses of the images, any written copy or finished product. I am of full legal age and have read and fully understand the terms of this release. If it is agreed on the event/retreat page, you may receive free images and videos from SCHOOL OF LIGHT or your personal use and as memories of the event/retreat. If you do not want to be in any of the photos or videos, that is fine, but you must inform us in advance.
Extra Information(a) I or my representative(s) agree to fully release and hold harmless Poppy Ridley of SCHOOL OF LIGHT (the company and all members of staff) from and against any and all claims or liability of whatsoever kind or nature arising out of or in connection with SCHOOL OF LIGHT (the company and all members of staff).
(b) I agree that I shall not in any way conduct myself inappropriately
(c) I understand that the materials and workshops must not be filmed and permission must be received from the retreat organiser for photography. We hold the right to refuse photography/videography of any of the workshops.
(d) I understand that the materials, workshops, sessions I attend and knowledge I gain cannot be appropriated. I am not allowed to copy, share, and/or distribute any of the materials or knowledge learned. I am not allowed to teach the materials to other professionals for free and/or for money. If you are attending a certification program, or you have written permission, then you may offer the services to your clients under the agreed brand name and terms and conditions will be separately provided to you.
(e) I understand that I am free to withdraw from or reduce my participation in the activities, programs, and sessions at any time.
(f) I acknowledge and understand that I am using the facilities at the Retreats at my own risk. In consideration for being permitted to participate in services, I agree to assume full responsibility for any risks, injuries or damages, known or unknown, which I might incur because of participating in the services offered and/or my presence at the premises at which SCHOOL OF LIGHTS retreats operate.
(g) This agreement is intended to constitute a complete release of any responsibility by releasees for personal injuries and/or property loss/damage sustained by me or anyone accompanying me, while attending the retreat, whether engaged in the offered services or not.
(h) I agree to indemnify and hold releasees harmless from any and all liability and damages incurred arising out of my conduct or activity (or the conduct or activities of those for whom I am responsible) while attending the retreat or participating in offered services.
(i) I understand that if I act in an inappropriate manner to anyone during the retreat, if I cause any inconveniences then I may be asked to leave the retreat and no compensation or refunds will be provided.
Complaints Procedure
If a client wishes to make a complaint about SoL, this must be emailed to the address specified at hello@theschooloflight.co.uk
Complaints must include the date and location of the incident, the full name of the complainant, details of the complaint and a desired outcome following the complaint
All complaints will be taken very seriously and a response will be provided within 28 days
